The output of a consulting engagement is a diagnosis, and a diagnosis is only as good as the stakeholder interviews under it. The specific failure is not forgetting the meeting — it is losing the eleven different framings eleven people gave you and writing the deck from the three you happened to note down. Client history usually lives in one senior head. That is fine until they are unavailable, staffed elsewhere or gone. Conversation records make the relationship an asset of the firm rather than of a person, which is the argument that gets this past a managing partner.
04 / Workshops are the hard case
A facilitator running twelve executives cannot take notes, and the standard fix — an associate in the corner typing — is expensive and still partial. Capture the room, then synthesise from what was said rather than from what one person managed to get down while the session was live.

Read the transcript for three things a generated summary reliably flattens: conditional statements that became unconditional, attributions to the wrong speaker, and the reasoning behind a conclusion where only the conclusion survived. Those three checks take minutes and catch most of what goes wrong.

For calls, a virtual transcription tool such as Granola or Fireflies. For in-person stakeholder interviews, workshops and site visits — which is where most consulting diagnosis actually happens — a recording device, because no software tool captures a conversation with no call attached. Can consultants record client meetings?
Usually yes, with disclosure and subject to your engagement terms. Check the MSA or SOW for clauses on recording, sub-processors and data location before you introduce a tool, and tell the client what you are using and why. Recording law also varies by state.
How do I take notes in a stakeholder interview without losing the thread?
Separate the two jobs. Capture the audio and give the conversation your full attention during it, then write the notes from the record afterwards. Trying to do both at once is what costs you the follow-up question, and the follow-up is where the insight is.
How should consultants organise client conversation records?
By stakeholder and by theme, not by date. The question you will ask in six weeks is "who said what about the operating model", not "what happened on the 14th". Tagging at capture time is much cheaper than reconstructing it later.
Does this work for executive coaching?
Yes, and the argument is stronger: coaching depends on the client feeling heard, and a coach taking notes is visibly half-absent. Capture the session, then review and annotate afterwards. Consent matters more here than almost anywhere, because the reaction to being recorded is itself material.
Client engagement terms usually say something about recording, third-party processors and where data may be stored — read yours before you introduce any capture tool, and tell the client what you are using.
