AI meeting pen buyer’s guide: what to check before you buy

Start with one question: where do the conversations that decide things actually happen? If they happen on Zoom or Teams, buy software — Otter, Fireflies, Fathom and Granola all do that well and a device is the wrong purchase. If they happen across a desk, on a site visit, in a car or in a corridor, no software tool captures them at all, and the question becomes which device. After that it is four checks: what form the device takes, where the audio goes, how long the battery lasts, and whether the summary saves you work or creates it.

01 / Do you need a device at all?

Be honest about the split. If four out of five of your meetings are video calls, a software tool covers most of your week and a device covers the remainder. Plenty of people should buy nothing on this page, and a guide that does not say so is an advert.

02 / What shape is it, and will you carry it

The best device is the one that is with you when the unplanned conversation starts. A clip-on recorder is one more thing to remember and to explain. A pen replaces something already in your pocket, and if it writes in real ink you keep taking notes the way you always have while it records behind them.

03 / Where does the audio go, and when

A device that stores locally until you sync gives a clear answer to "has this left the room". One that streams to a cloud service during the conversation is a different risk profile, and for legal, clinical and financial work that difference is the deciding one. Ask in writing.

04 / Battery against your longest real day

Not the marketing number, your actual worst case. Plaud records 30 hours on a charge; Scriben records up to 18 hours. If your worst case is a conference from breakfast to a late dinner with no charger, that gap decides it and it does not favour us.

05 / Does the output reduce work or move it?

A wall of transcript is a new task. What you want is a structured summary — topics, decisions, action items — that you review rather than mine. And check what you can do with it afterwards: export, search, and whether your own tools can read it.

What is the best AI pen for recording meetings?

For in-person professional meetings, the field is small: Scriben and Plaud are the two most people compare. Does an AI pen replace a notebook?

Should I buy a device or use an app?

Do AI pens work without wifi?

The good ones record entirely to the device with no connection. Processing into a transcript happens after you sync. Confirm this specifically, because some products require a paired phone to be present and running.

What should I ask a vendor before buying?

Four things, in writing: does it record with no phone or network present; where is audio processed and stored; is any of it used to train models; and can I export everything if I leave.
